Optimising Digital Content Creation

White Paper

This report presents the results of a research project defined and executed by Pfeiffer Consulting. It included strategic technology analysis and trend research in the enterprise content creation space, as well as assessment of the impact of using technologies like the ones offered by Rakuten Aquafadas on return on investment and overall competitiveness in the creation, management and delivery of professionally produced content across a wide range of devices and platforms.

The first aim of this research was to provide a clear and structured analysis of the increasingly complex, not to say convoluted, situation of the enterprise publishing market today, taking into account the numerous challenges that subsequent waves of digital disruption present to corporations with regards to managing and delivering the wide variety of content today’s world requires.

The second aim was to evaluate the real-world impact that technologies such as the Aquafadas content delivery platform can have on the cost and efficiency of content production and delivery, and particularly in terms of code-free app-development.

The report is structured into four distinct sections:

  • Key Trends Shaping Enterprise Content and Collaboration analyses the latest set of technology and usage trends in enterprise publishing;
  • Bottlenecks and Pain Points in Enterprise Content Creation looks at the key challenges corporations face today when managing their content production;
  • The ROI of Streamlined App Development evaluates the efficiency gains and cost reductions that code-free app development can present;
  • Integrating Design-Driven Content Creation and Automated Delivery takes a closer look at the different approaches of automated content delivery offered by the Aquafadas system.

Key Trends Shaping Enterprise Content and Collaboration

Major Points

  • Over 70% of enterprises invest in mobile apps to increase productivity or to improve customer service, while 35% do it to remain competitive.
  • Enterprise publishing has to deal with a wide variety of document and content types, which need to be processed for a very diverse set of users and a broad set of output channels.
  • Enterprise app development is outstripping available development capacity by a factor of five.
  • Code-free app development allows enterprises to bring development in-house.

The Mobile Juggernaut

Mobile devices have profoundly transformed almost every aspect of the modern enterprise. Trends like BYOD (Bring Your Own Device) are forcing companies to deal with the uncontrolled variety of mobile devices and laptops employees want to use to get their work done. 61% say BYOD improves employee mobility, but security concerns linked to mobile devices are significant : 39% downloaded malware in the past, and 35 % say they aren’t sure, according to the same research.

Investing in enterprise mobility solutions has become vital, however: over 70% of enterprises investing in app development in 2016 did so to increase productivity or to improve customer service, while 35% did it remain competitive.

How Apps have Transformed the Enterprise

It is interesting to note that while in the consumer realm, productivity apps are playing a relatively minor role compared to games, social media and messaging, in the enterprise, apps have profoundly transformed the way we work, in areas as diverse as managing snow removal contractors or tracking the quality of vineyard buds. eWeek reports that at SAP “more than 60,000 SAP employees are themselves using in-house enterprise apps built by SAP IT to help them accomplish a wide range of work-related activities, from quickly filing expense reports, sending product details to customers during sales calls, or just finding out what’s for lunch in the company cafeteria before going to meet co-workers.”

This trend is gaining momentum on a global scale, and not only for large corporations with extensive IT departments: according to Enterprise Mobility Exchange, over 63% quote increased productivity and operational efficiency as key reasons for app development.

But developing an app strategy is complex business. “As mobile devices continue to pervade the workplace, IT must find ways to deliver and manage the applications and services that employees need to conduct business.”6 According to Gartner “Enterprises lack the tools and experience on how to gather and use analytics intelligence from mobile apps to identify opportunities for new workflows and methods of engagement, particularly for B2E apps.”

Enterprise apps have become a big market, yet most enterprises do not feel that they can develop the apps they require in-house. In 2017, demand for app development services is expected to outstrip available development capacity by a factor of five.

What all this boils down to is that there is growing need for code-free app development, that will allow the creative services in an enterprise to create apps in-house without relying outside expertise.

Key Content Trends to Watch

  • Digital magazines 3.0: Digital magazines were among the first apps to appear when the first iPad was released. But the emerging generation of digital magazines have very little in common with the PDFbased print replicas of the early days. Watch out also for increased service integration.
  • Endless scroll: The page-based model for delivering text is increasingly replaced by pages and even collection of stories where the reader just continues to scroll, rather than getting lost in complex hierarchical structures.
  • HTML5 everywhere: HTML5 has been around for a few years, but with the latest generation of content creation tools, it becomes the go-to method for sophisticated interactive media, not only for browser-based content, but for apps as well.
  • Digital storytelling:This new way to communicate a story using pictures and carefully crafted shorter texts has been triggered by the ubiquity of mobile devices, and made popular by social platforms and dedicated news apps. Digital storytelling is profoundly transforming online and social content.

Bottlenecks and Pain Points in Enterprise Content Creation

Major Points

  • The rapidly growing diversity of platforms and devices is one of the major hurdles for remaining competitive in enterprise content delivery.
  • Only development platforms that can automatically generate apps for a variety of platforms and devices, such as the Aquafadas system, will be able to significantly reduce the cost of app development.
  • Customer-facing corporate publishing requires extensive creative control not all app development platforms provide.

Complexities on Every Level

Generally speaking, organizational bottlenecks tend to arise more often in secondary processes than in primary ones. If the core business of a company is in manufacturing, for instance, efficiency on the factory floor will be highest priority, and dealt with in the most cost-effective way, since the bottom-line directly depends on it; investments on secondary processes on the other hand, management of office documents for instance, are a lower priority and tend to be squeezed when cost reduction is important.

This well-known mechanism of course affects corporate publishing directly, but there is a twist: While very few companies doubt the absolute necessity of communicating well, the ever-increasing speed of digital innovation creates a disconnect between what could (and should) be achieved, and what can realistically be implemented.

Many bottlenecks in modern corporate publishing arise from a simple set of conflicting needs: the importance of automating document processing on one side, and the imperative of creative control over the documents that represent the corporation on the other. Remaining competitive in any field requires excellence, but unfortunately, excellence can not be automated.

File Management: A Major Culprit

Some problem areas have been around forever - but remain a major issue in enterprise document management. As one CIO of a Fortune 500 Company put it: “The biggest problem in Enterprise IT is ‘Where is that file?’”. File availability is a problem that skyrockets as mobile devices become dominant in enterprise IT. According to Gartner, by 2018, 70% of mobile professionals will conduct their work on personal mobile devices, but keeping up with this trend creates frequent problems. As a direct result, improving mobility and making content easier to find are the biggest drivers in new investment, according to research published by Docurated.

But not all problems are linked to file management: Some companies simply don’t have an app yet that would allow their employees to access corporate content when they are on the road. But even when this not the case, the fact that most apps require an internet connection to function can create very annoying situations, for instance when a sales rep cannot access product information because his tablet or smartphone cannot connect to his carrier inside a building.

Finally, app development itself very often constitutes a significant bottleneck: A complex and costly development and update cycle can result in an app that cannot keep pace with rapidly evolving requirements in the enterprise. Clearly, streamlining the app development process has become a top priority for corporate publishers around the world. We will discuss this in greater detail on the following pages.

Pain Points of Mobile Enterprise Content

  • The right version of a document is not available:Finding exactly the right document at the right time can be a serious challenge, given the organization complexity of enterprise storage repositories.
  • No internet access:This is an issue that is as annoying as it is frequent: a data-connection is not available, leaving a sales rep stranded with no access to a vital document.
  • Outdated version of the app:A mobile app is available, but the content it contains or the app itself is outdated.
  • No mobile app available:An app is planned, but hasn’t been developed yet, which means that the user has to find and transfer the necessary data and documents manually.
  • Inappropriate app or on-line portal:An app has been developed, but due to the complexity of the development process it has not been updated to stay in line with the needs of employees.

The ROI of Streamlined App Development

Major Points

  • The average cost of a mobile app can be anywhere between tens of thousands to hundreds of thousands of dollars.
  • While coding is one of the most costly aspects of app development, it is the nature of the development pipeline that makes it such a complex and costly endeavour.
  • By significantly streamlining the app development process, Aquafadas’ technologies make it possible for apps to be created in weeks instead of months.

How Much Does it Cost to Develop an App?

According to research from Enterprise Mobility Exchange, in 2016, over 60% of enterprises have invested in mobile application development.1 It’s no secret, however, that developing a mobile application can be a costly affair: A quick search on the Internet will tell you that the average cost of an app can be anywhere between tens of thousands to hundreds of thousands of dollars, depending on the design requirements, the amount of coding necessary, as well as the complexity of integration and number of supported platforms.

Where Does the Money Go?

The initial stage for any app is also essential to its success: defining needs, functionality, studying use case scenarios and validating the concept of the app with stakeholders and future users is vital, and should be executed with the utmost rigor.

While coding is of course one of the most costly aspects of app development, it is the nature of development pipeline that makes it such a complex and costly endeavour. The problem is that, in most cases, app development requires several different competencies to function together in concert: There is the graphic design aspect of the app, which has to respect corporate style guidelines, and is usually handled be the in-house creative department, or by the marketing agency. This is then handed off to the UX designer, who will create a wireframe mock-up, followed by UI design, which is in turn executed by the actual developers by writing the appropriate code, implementing technical aspects such as I/O and security. They also prepare variations of the app for different platforms and devices. This is then returned to the design team that verifies and communicates necessary changes, which are sent back to the development team, and so forth.

App development has become one of the most prominent challenges enterprises face today, and choosing the right tool is vital: According to Gartner, “By 2020, more than three quarters of enterprises will have adopted at least one mobile app development platform, up from about one third in 2015.”

The Solution: Simplification

The originality of the Aquafadas approach to app development is not only the fact that no coding is required, but also to integrate the most widely used design tools as a starting point. Aquafadas uses Adobe InDesign as a platform, and enhances it significantly, allowing for the creation of very sophisticated content apps that do not require a single line of code. But the real benefit here is that this approach cuts down considerably on the number of professions that need to participate in the creation of an app. In the context of corporate publishing, this aspect is vital.

In other words, it is the designers responsible for a publication who can move on to enhance it and add interactivity. This provides not only much greater creative freedom, but also significant productivity gains. It is no surprise that Aquafadas first made a name for itself in the magazine publishing market, where deadlines are extremely stringent, yet creative capabilities are absolutely vital to remain competitive.

The Need for Creative Control

Digital tools have had an enormous impact on content creation in general, and on corporate communication in particular. Nowadays, almost anybody can produce professional looking content, websites or videos — and it looks like almost anybody does.

A direct result of this trend is that it has become extremely difficult to stick out in today’s visually oversaturated world. Everything seems to look the same. And there is a reason for this: in order to go fast, most content today is produced by adapting publicly available templates and themes, that look good at first blush, but usually allow only for limited customization.

For corporate communication, this is a serious challenge: When you have a valuable brand, you need it to be immediately recognizable, not only from the logo, but from much subtler, yet immediately sensed design aspects, such as high quality typography. To achieve this degree of sophistication, creative control in the tool pipeline remains vital in corporate publishing.

Integrating Design-Driven Content Creation and Automated Delivery

Major Points

  • Automation of content delivery is essential in corporate publishing, but can result in loss of creative control that could negatively impact brand perception.
  • The Aquafadas platform offers content creation and delivery options that range from hand-crafted, sophisticated interactive content to high-volume ingestion and processing of structured data.
  • Through code-free development, Aquafadas technologies provide significant cost-savings over other app development solutions.

The Automation Conundrum

Corporate publishers are facing a very basic dilemma: they need very precise creative control over the content they produce, because the company’s competitiveness depends on presenting a coherent, unique image—yet the amount of data and documents they are confronted with is impossible to manage without sophisticated automation.

But automation is complex. We are back with the old principle from the movie business: “Cheap. Good. Fast. You can pick any two you like.” Which, in terms of choosing a document management system, means you have the difficult choice between doing things quickly with fully automated document management systems, but at the cost of losing creative control—or you can go for the creative excellence your designers clamor for, but you lose the speed of throughput.

What Aquafadas Brings to the Market

Most document management systems on the market focus much more on automation than they do on creative control, and can make it difficult to provide the degree of sophistication excellence-driven corporate communication requires. The originality of Aquafadas, which has its roots in the publishing business, is to present a system which covers a wide gamut of digital content creation possibilities, ranging all the way from highly sophisticated design to fully automated delivery of content using structured data.

Content Delivery Options of the Aquafadas System

Aquafadas offers four different ways of delivering digital content:

  • Manual creation through InDesign: The Aquafadas plug-in complements Adobe InDesign’s creative capabilities with an extensive set of interactive controls. Interactive documents created that way can be packaged as apps that can be submitted to app stores for both iOS and Android.
  • Manual PDF ingestion: This allows users to manually add interactivity such as slide-shows, buttons and video to existing PDF files.
  • Automated PDF ingestion: Batch conversion of PDF files can generate documents for inclusion in apps, or for web delivery on desktop platforms.
  • HTML5: The Aquafadas system can output HTML5 both from the InDesign plug-in or through the cloud platform.
  • Automated XML ingestion: This is the most automated content delivery. It takes structured data and outputs it either to Aquafadas AVE-MAG format, or to HTML 5.

Next Gen Apps

Next Gen Apps are created on-line using the cloud platform, and can be generated without additional work for iOS, Android, Windows, macOS and web. Another interesting aspect of these apps is that, once they have been submitted for the first time, content updates are available immediately on all platforms without requiring re-submission of the app. Finally—and of considerable importance in a corporate publishing context—content on Next Gen Apps is available on mobile devices even when they are not connected to the Internet.

The Importance of Service Integration

It used to be that apps were a more convenient way to access certain types of on-line content. But while this is of course as true today as it was a few years ago, recent developments have raised the bar for app developers: today, service integration has become a must-have feature for many corporate apps.

In other words, apps need not only to be able to retrieve pictures, text and video from a website, but they are required to connect via secure log-in to a wide variety of on-line services, ranging from business services such as access to a corporate CRM or database, to on-demand video or other subscription-based services. For developers, this adds another level of complexity to the process of creating an app.
